The solution

wwwarcelona carried out an in-depth analysis of the existing processes and rebuilt the platform from scratch, integrating all the key elements of the business into a single system: a web portal for lead capture, a database with nearly 5,000 offices and coworking spaces available, a private area for space owners and managers, a personalized profile for customers, and a custom-developed internal CRM. The entire system was designed to automate operational processes as much as possible, allowing the Sitandplug team to manage a volume of business that would otherwise have required double or triple the number of people.

Definition of the challenge

Sitandplug is a platform for managing and booking coworking spaces and offices that, in 2020, operated with a system developed by a freelancer that had a widespread malfunction. The system was not integrated, the processes were manual and inefficient, and the team spent hours on tasks that could and should be automated. With a database of nearly 5,000 spaces and growing operations, it was urgent to rebuild the platform on solid foundations.

Product strategy and functional design

The design was designed for three very different user profiles: the customer looking for space, the office owner or manager who publishes and manages their spaces, and the internal Sitandplug team that operates the entire system. Each interface was designed to maximize the efficiency of each profile, with clear flows, relevant information in the foreground and the minimum possible friction in each interaction.

Technical Architecture, Integrations, and Performance

The platform was rebuilt on a modern and robust architecture: WordPress with MySQL database as a content management and back-office layer, combined with its own API that connects the different modules of the system. A bespoke internal CRM was developed that centralizes all commercial and operational management, eliminating the need for external tools and reducing dependence on manual processes.

At the heart of the system is intelligence in demand management: when a customer creates a space request, the system automatically crosses all relevant variables – availability, office type, customer preferences, history – and generates intelligent suggestions in real-time. The operator can close a proposal in two clicks, instead of the previous manual process that required searching individually, consulting files, remembering features and writing manually. The integration between the customer portal, the owners area and the internal CRM ensures that all information flows frictionlessly between the parties.
